SECTION A: Annual selection of new members
The Vice Chairperson of the Parish Pastoral Council shall administer the selection of new members as follows.
1. Pastor educates the parish of the purpose of a council and the membership process.
2. Council hosts an informational meeting for those interested in becoming a member or who are interested in nominating another parishioner.
3. Interested parishioners nominate themselves or others using form(s) provided by the Council.
4. Council contacts nominees to determine their willingness to move forward with the selection process.
5. Council hosts potential applicants for education and prayerful discernment regarding the qualifications for and commitment to membership.
6. Applicants submit a personal letter of application, including a short biography, summary of interest and desire to serve as a member, and a photograph.
7. Pastor confers with parish staff about applicants.
8. The existing Council offers input concerning the list of applicants.
9. The names of the applicants are presented to the parish. The parish is invited to provide feedback regarding any applicant. The Pastor follows-up on parish feedback as needed.
10. The Pastor determines which applicants are to become candidates.
11. New Council members shall be randomly selected from the pool of approved candidates.
12. Pastor thanks candidates for participating and advises each person of the outcome of the selection process. Pastor will encourage all candidates to continue to participate in the life of the parish. A letter detailing the outcome of the selection process will also sent to each candidate.
13. An announcement detailing the membership of the Council for the coming year will be communicated to the parish
. 14. Following the announcement to the parish, new members will be installed at a parish liturgy.
SECTION B: Transition from Envision Council to Parish Pastoral Council
The current Envision Council will form part of the initial Council. In the first year, eight existing Envision Council members will become Council members. Four of these members will have one year terms. Four of these members will have two year terms. Four new members will be selected pursuant to these Procedures and will have three year terms. Following the first year, the selection process will proceed as set forth in Section A, above.
ARTICLE II – AMENDMENT OF PROCEDURES
Amendments to these Procedures may be proposed by any member of the Council at any regular meeting. The procedure to propose and incorporate an amendment is as follows.
a. Members may propose amendments at any regular meeting. The proposed amendment shall be published in the minutes of that meeting.
b. At the next regular meeting, the Council shall determine by consensus whether to incorporate the proposed amendment to these Procedures.
ARTICLE III - ADOPTION
These Procedures be and are hereby adopted on this ____ day of September, 2015 and supersede any previously adopted version.
